The BBC Media Action is the charitable arm of the World Service established by the BBC. The BBC Media Action Nigeria which tackles poverty, human rights and health issues through creative use of the media is seeking to recruit experienced individuals who will join the Team in Abuja.
The Positions are Abuja based but may involve travelling to the focal states in Nigeria. The contract duration is expected to be one year with a start date of January 2013 and a probation period of 3 months
Position: Personal Assistant to the Country Director
Salary range is from N150.000.00 (per month) but does not include moving or relocation allowance to duty station).
Duties
- Reporting to the Country Director, the successful candidate will provide Administrative back-up and support to the Country Director and the Management Team.
Administrative Support Functions
- Plan, organize, manage, and supervise the day-to-day running office of the
- Country Director towards meeting objectives;
- Maintain, manage and follow up on CD’s Calendar of activities, screen and monitor visitors and incoming calls;
- Serve as primary point of contact, clearing house of information and correspondence emanating from the Country Director’s office:
- Maintain list of names, addresses and telephone numbers of partners/partner stations, government officials, the private sector, the diplomatic corps and donor
- Agencies in Nigeria:
- Prepare administrative briefs with background information, general correspondence and meeting papers for the CD;
- Send reminders on scheduled meetings to the CD and Senior Management Team;
- Arrange and coordinate support for meetings/seminars/workshops for the protects, the CD, and where necessary take minutes of such meetings;
- Maintain Country Director’s confidential, policy, project and general flies,
Project/Programme Support Functions
- Maintain routine correspondence as may be directed by the CD with Headquarters, partners and donor organizations on project activities:
- Assist In preparation, collation, and submission of quarterly and annual reports to donor agencies and partners In collaboration with Project Managers;
- Prepare background documents and assist the CD in preparing briefs for discussions/meetings with Donor, Government. Partners on country programming and project formulation,
- Establish and maintain organizational and professional contacts with government agencies, non-governmental organizations, partners and donors;
Skills, Knowledge & Experience
- A good first degree in Organizational Secretarial Administration, Personnel Management, Business or Public Administration, English, Social Sciences or any other relevant field:
- Ability to take down notes and transcribe same
- Knowledge of office procedures and work ethics in the workplace;
- Excellent organizational ability;
- Maintain composure under intense pressure while working to meet deadlines
- Good team player and motivator;
- Driven to achieving set goals reaching targets and exceeding expectations.
- Logical and analytical with a good eye for accuracy and attention to detail.
- Ability to interact effectively with staff and with tact and diplomacy
Sound Judgment and professionalism;
- Excellent IT skills, including MS Word, Excel and PowerPoint.
- Fluency in spoken and written English;
- Energetic and personable;
- Strong communication, writing and interpersonal skills;
