Vacancies: Front Desk Associate, IT Associate
AIDS Prevention Initiative in Nigeria (APIN) is a non-governmental donor-funded organization dedicated to the prevention, treatment, care and support of diseases of public health importance in Nigeria, including HIV/AIDS. tuberculosis and malaria, among others. Since 2001, we have closely with key stakeholders to reduce the burden and mitigate the impact of those diseases through cutting edge, innovative & sustainable approaches
We are seeking qualified and suitable candidates to assume the following positions:
Position: Front Desk Associate (Abuja)
Reporting to the Senior Admin Officer, the Front Desk Associate will receive and attend to visitors and enquiries as well as manage all official telephone calls, mails, fax and other correspondences. S/he will also have responsibility for providing back-office secretarial support on routine basis and preparatory to planned training programmes.
Job Tasks
- Receive and attend to visitors and guests as well as manage enquiries by providing responses or routing them to relevant staff members
- Manage official incoming and outgoing telephone calls, make calls for and route incoming calls to, relevant staff members
- Dispatch and receive mails through courier companies, keep record of outgoing and incoming mails, ensure their timely delivery and conduct preliminary review of bills submitted for courier services rendered
- Disseminate official news/information to junior staff members without/unable to access their mail accounts
- Maintain an effective and efficient filing system for program and administrative documents
- Maintain contact details (telephone numbers and e-mail addresses) of staff members and site officials
- Produce electronic copies of documents by scanning, as requested by staff members
- Assist in the preparation for, and reporting on, training programmes, especially in the design and printing of certificates and tags for training participants
Minimum Qualifications and Experience
A first degree in the Social Sciences or the Humanities and a minimum of three (3) years’ cognate experience, preferably in a non-governmental organization or development agency

Position: IT Associate (Abuja)
The job holder will have responsibility for providing a wide range of IT support services to users at the program and site offices, and for supporting the continuous functionality of all IT systems
Job Tasks
- Render IT support at the program and site offices
- Provide helpdesk service to IT users at the program offices
- Carry out routine troubleshooting and repairs on hardware and software
- Render technical support during training programmes, conferences and meetings such as deploying, setting up and maintaining multimedia systems/gadgets
- Work with the IT Officer maintain inventory of information and communication technology equipment
Minimum Qualifications and experience
- A first degree or HND in Computer Science, Computer Engineering, Electrical & Electronic Engineering or any other related field, preferably with relevant professional certification(s); a minimum of three (3) years’ experience in the IT function of a standard organisation, preferably an non-governmental organization

Position: Database Associate (Ibadan)
A member of the State Team, the job holder will be responsible for providing support to the program data management system in the state, in conjunction with the Strategic Information (SI)Team.
Job Tasks
- Assist in setting up and maintaining the data management systems at the program sites
- Carry out routine data cleaning activities for APIN supported health facilities in the state
- Analyze and summarize sites’ error logs on a monthly basis
- Assist in identifying emergent technical assistance needs and work closely with the State Team to plan relevant trainings for sites’ support staff as required s Ensure program data are of acceptable quality and standard and carry out data quality assessments of facilities
- Contribute to the regular review of data management standard operating procedures (SOP) and the sites assessment tools .
- Provide online and on-site technical support to program sites in the State on data management issues, including data cleaning, analysis and reporting
- Carry out periodic visits to the program sites in the state
- Extract data for periodic program reporting in collaboration with the SI Team and other Programs staff
- Develop database management utilities as required
Minimum Qualifications and Experience
- A B. Sc or HND in Computer Science or Information Technology, with a minimum of three (3) years experience in database management; experience in the use of File-Maker Pro database management software is an added advantage
- Technical and Behavioural Competencies
- High proficiency in the use of computer as well as in the development and manipulation of databases
- Ability to use own initiative
- Knowledge of the nature of HIV/AIDS data as well as APIN’s data management policies and procedures
- High level of data security consciousness
- Excellent interpersonal skill
