Vacancies: Program Assistant, Office Manager
An International Non-Governmental Organization currently implementing a program to improve the participation of key Nigerian stakeholders in electoral and political processes is looking for Nigerian citizens to fill positions within its office in Abuja, Nigeria. These stakeholders include: political parties; election authorities; media; and under represented groups such as women, youth and persons with disabilities. The specific objectives of its program are to:
- Strengthen the capacity of political parties to more effectively and responsibly participate in the electoral process.
- Strengthen capacity of domestic observers and party agents to monitor national and state elections.
- Enhance the democratic role of and use of new and traditional media in the political process.
- To promote stakeholder dialogues on the electoral process.
Job Title: Program Assistant (PA)
Reporting: the PA reports to the Country Director
Duties and Responsibilities
- Provide logistical and administrative support before, during and after program events
- Assist in the collection of data for monitoring and evaluation of the organization’s activities
- Responsible for filing and keeping program records
- Conduct research
- Assist in the collection of data for monitoring and evaluation of organization’s activities
- Proof-reading and editing, for grammar and style, correspondence and documents before signatures
- Set up meetings and appointments and prepare files with background materials
Qualifications and Experience
- University degree in Governance, Development, Social Sciences, Or Project Management
- Not less than 2 years’ experience in a similar position .or work with a reputable company
- Experience in design, monitoring and evaluating democratic governance programs
- Computer proficiency in Microsoft
- Good writing skills
Job Title: Office Manager (OM)
Reporting: the OM reports to the Country Director
Duties and responsibilities
- Assist the Country Director with the management of all day-to-day operations. such as ensuring all required office supplies and equipment are in stock
- Ensure organization meets all reporting requirements of the government. including the Federal Inland Revenue Service, Ministry of Finance and Ministry of Labour.
- Maintain an up-to-date inventory in line with the organization’s policies
- Manage calendars, meetings and special events In consultation with program staff, prepare quarterly office calendar of activities, major actions/event
- Organize meetings, workshops and other events internal meetings; monthly meetings, meetings with external stakeholders, implementing partners, and other donors
- Maintain a staff leave and travel calendar
- Coordinate procurement and ensure that donor and the organization’s procurement guidelines are followed at all times
- Maintain a list of contacts including vendors, contractors, implementing partners, relevant government agencies, key stakeholders and donor agencies
- Make travel arrangements for staff internal travel including flight and hotel reservations
- Perform other office management responsibilities similar in scope
Qualifications and Experience
- At least 5 years of experience in a similar position preferably an with international organization or project
- Excellent communication and presentation skills
- Good command of English, both spoken and written
- Familiarity with international travel arrangements
- Ability and readiness to work under pressure
- Demonstrate integrity and transparency
- Demonstrate ability to priorities task and ensure follow through
