Pact Nigeria, located in Abuja, is the Nigerian Country office of Pact, which is an independent International non-profit Organization headquartered in Washington, DC, USA. Pact envisions a world where those who are poor and marginalized exercise their voice, build their own solutions, and take ownership over their future.

 

Pact Nigeria is currently expanding in program portfolio and seeks highly experienced and qualified candidates to fill the above mentioned positions within the shortest possible time.

 

Position: Finance Officer (III Positions)

Overall Job Function

The Finance Officer plays a critical role in Pact’s financial management. With a large number of procurements and grants to local organizations, Pact’s accounting practices, oversight, and financial support of its local partners is a central to effective programming.

 

The Finance Officer at this level is expected to perform all duties listed below.

  • Performs general ledger maintenance and reconciles assigned general ledger accounts, including sub-grants and sub-awards;
  • Develops monthly and quarterly financial reports for the review/approval of the finance manager;
  • Prepare and follow up with transactions to ensure that payments are accurately captured, timely and complete;
  • Reviews procurement and payment documents ensuring appropriate cost coding and accuracy;
  • Ensures timely payments to vendors and other project related expenses such as telephone travel etc.
  • Carries out banking transactions/reconciliations, ensuring appropriate and accurate capturing in accounting system;
  • Reviews sub-grant and sub-award financial reports, taking initiative to resolve problems in accordance with policies and program objectives;
  • Provide general orientation and support to sub-grantees on financial reporting.
  • Follow-up with 3rd part transactions, ensuring that all related documentation are submitted such as TA for sub-awards, deposit slips are properly filed etc.
  • Payroll preparation;
  • Knowledgeable in use of accounting soft wares like Quick Books and serenics;
  • Performs other related duties as assigned;

 

Qualifications:

  • Minimum  B.Sc. in Accounting or it’s equivalent is required. Chartered accountant qualifications a plus.
  • Must also have at least three years experience as an accountant. Experience with accounting standards/practices of international organization a strong plus.
  • Demonstrated experience with automated accounting systems (QuickBooks and serenics), including payrolling required.
  • Also must have knowledge of internal control systems and financial audit processes.
  • Advanced use of MS Word, MS Excel, MS Outlook, Power Point and MS Publisher

 

 

Position: Procurement Officer

Overall Job Function:

  • The Administration unit responds to the day-to-day administrative support needs for the office and staff.
  • The unit must also be proactive in anticipating the needs and be able to act quickly to address the challenging and changing environment in which Pact’s program/project activities must meet objectives set out by donors and CSO partners.
  • The Procurement Officer plays an important role in working with the Administration unit and Pact Nigeria in general to ensure that appropriate and/efficient policies and procedures governing procurement office management and general administration support on program activities are adequately implemented.
  • The Procurement Officer should possess excellent ability to communicate and maintain diplomatic and productive relations with the team; resourcefulness, flexibility and ability to work in a changing and challenging environment.

 

Duties and responsibilities include;

  • Provides support in procurement activities for Pact’s office and sub-grantees, making timely payments to vendors and for other project related expenses such as telephone, travel etc.
  • Provides support in preparation of bid analysis, negotiation memos, purchase orders and other procurement documents in accordance with Pact’s and donor policies and procedures.
  • Inventory management
  • Information tracking of meetings/workshop schedules.
  • Assist in staff and visitors’ travel management.
  • Assist with update maintenance on all equipment.
  • Provides support in organising travel and stay (hotel reservat.ons) for project staff .      Provides support in organising venues for workshops/seminars etc.
  • Provides support in maintaining the filing system in their respective locations .
  • Other office management responsibilities assigned by the supervisor

 

Requirements

  • Applicants should have a good degree level qualification in Public Administration, Business Administration, Management or any other relevant management sciences.
  • At least 3 years relevant experience in areas of office administration and human resource management with a minimum of 1 year in an International NGO.
  • Proven experience in Office management.
  • Proven experience in procurement process
  • Good computer skills, including practiced knowledge and experience in word-processing, spreadsheet (Excel) skills.
  • Excellent knowledge and skills in procurement process, particularly the USAID process.
  • Excellent ability to communicate and maintain diplomatic and productive relations with the team; resourcefulness, flexibility and ability to work in a changing and challenging environment.
  • Possess positive attitude, Self-motivated, independent, can deliver results under stress and timely manner, team worker, confident in dealing with vendors.
